Who You Are
As Executive Assistant to the COO, you’ll be a force multiplier ensuring their time is spent where it matters most. This role requires more than just scheduling savvy; you’ll also act as a project manager - style partner, attending meetings, capturing decisions, and keeping follow-through on track. You’ll handle everything from managing calendars to strategic coordination with precision, confidentiality, and a strong sense of urgency.
This is an ideal role for someone who enjoys thinking three steps ahead, thrives in a dynamic environment, and has a genuine passion for operational excellence. Your work will directly influence the pace, focus, and success of strategic initiatives across the company.
What You'll Do
- Calendar & Executive Time Management
- Own and orchestrate the COO’s calendar with exceptional accuracy—prioritizing what matters, flagging conflicts, and managing shifting priorities with minimal oversight.
- Prepare daily/weekly agendas, briefing notes, and ensure the COO is equipped for every meeting and decision.
- Meeting Execution & Strategic Follow-Through
- Join key meetings (internal and external) to capture notes, track action items, and ensure clear documentation of next steps.
- Follow up with stakeholders, teams, and cross-functional leads to close loops and maintain momentum on deliverables.
- Coordinate post-meeting communications and summaries on behalf of the COO.
- Operational & Cross-Functional Support
- Partner closely Business Operations team to help liaison between the COO and internal teams—streamlining requests, clarifying priorities, and keeping information flowing.
- Track operational and strategic initiatives led by the COO, providing project management support as needed.
- Help clarify priorities and maintain alignment across functions.
- Confidential & High-Impact Execution
- Handle sensitive information with complete discretion and trust.
- Assist with executive communications and internal messaging drafts.
Your Experience
- 5+ years in an Executive Assistant, Project Coordinator, Project Management, or Operational Support role—ideally in a high-growth, tech, or security-focused company.
- Mastery of calendar management, meeting execution, and executive-level coordination.
- Clear and confident communication—written, verbal, and interpersonal—with the ability to distill complexity.
- A sense of ownership and accountability that rivals the execs you support.
- Comfortable with ambiguity and able to navigate fast-changing priorities with a calm, solutions-focused mindset.
